Your AI assistants answer from a knowledge base: the information you give them about your business. The better the knowledge base, the better the answers.
What to put in it #
- Your services and what each one includes.
- The areas you cover and your opening hours.
- How booking, quotes and payment work.
- What customers need to do before you arrive.
- Your most common questions, with the answers you give.
- What you don’t do, so it can say no politely.
Steps #

AI Agents → Knowledge Base
Click AI Agents, then the Knowledge Base tab.

Create knowledge base
Click + Create knowledge base and give it a clear name, such as “My business”. Or open an existing one with the pencil icon.

Add sources
Click + Add Source and choose a type:
- Web Crawler: reads pages from your website. Add your home, services, FAQ and contact pages.
- FAQ: question-and-answer pairs. Write them the way customers actually ask.
- Rich Text: type or paste information directly.
- File Upload: PDF, Word, PowerPoint or text files. Only the text is read, not pictures.
- Tables: a CSV file, for example a list of services.

Test the answers
Wait for the sources to finish processing, then use the retrieval tester to ask real questions. Fix or add sources where answers are missing or wrong.

Connect it to your assistants
In your AI receptionist and AI chat assistant settings, choose this knowledge base.
Good to know #
- No retraining needed. New sources are used as soon as they finish processing.
- Leave prices out unless you want the AI to quote them. Assistants answer with whatever you give them.
- When the AI gets a question wrong, add an FAQ with the right answer. Your knowledge base gets better over time.
- Create with AI can build a first draft from your website. Always check it.
Troubleshooting #
If an answer looks wrong, open the conversation, click the AI response info next to the message, and check which source it used. Correct that source.
