Set up a calendar so customers can book a visit or a quote online, only at times that suit you.
Before you start #
- You need to be an Admin on your Autopilot account.
- Decide how long a visit takes and which hours you are available.
Create the calendar #

Settings → Calendars
Open the Meetings tab. You see your calendars in a list.

+ New calendar
Click + New calendar at the top right and choose a personal booking calendar for one-to-one appointments.

Basic details
Enter a Calendar name customers will understand, such as “Free roof survey”, add a short Description, and choose a Meeting color.

Staff & location
Choose who the bookings are for and where the appointment happens, for example at the customer’s address.
Set your availability #

Availability
Set your weekly working hours for each day. Add date-specific hours for days that are different, such as bank holidays.

Booking rules
Set the Meeting duration and Meeting interval, how often a new slot starts. Use Minimum scheduling notice so nobody books an hour ahead, Date range to limit how far ahead people can book, Pre buffer time and Post buffer time for travel, and Maximum bookings per day if you have a daily limit.

Save changes
Click Save changes at the top right.
Good to know #
- Buffer times are the easiest way to leave travel time between jobs.
- Date-specific hours override your weekly hours for that day.
- Changes apply to new bookings. Existing appointments are not moved.
- Need different durations or buffers for different jobs? Create a second calendar, for example one for surveys and one for cleans.
- Advanced settings lets you change the booking form, the confirmation message and the look of the booking page.
