Send customers a confirmation when they book and a reminder before the visit, so fewer people forget or cancel at the last minute.
Set up notifications on the calendar #
-
Settings → Calendars → edit your calendar
Click the pencil icon next to the calendar.
-
Advanced settings → Notifications & policies
You see a list of notifications: appointment booked, cancellation, reschedule, Reminder and Follow-Up.
-
Edit a notification
Click the pencil next to one. Choose the channel (Email, SMS, WhatsApp or in-app), turn it on, choose who receives it and write the message. For reminders, set how long before the appointment it goes out.
-
Save changes
Save, then make a test booking to see what your customer receives.
Or use an automation #
For more control, such as a reminder the day before and another an hour before, build an automation in Automation. Start it with the Customer Booked Appointment trigger, then use a wait step set to a time before the appointment, followed by an SMS or email.
Good to know #
- Use either the calendar notifications or an automation for the same message, not both, or customers get it twice.
- A reminder the day before plus one on the morning of the visit works well for most trades.
- Include your booking link in the reminder, so customers can reschedule instead of not turning up.
- Customer phone numbers need +44 for texts to arrive. Each text uses credits.
- Set your cancellation and reschedule rules lower down on the same page.
